Privacy Notice

Valedis, LLC (“Valedis”) operates a death certificate workflow platform for licensed funeral homes. This Privacy Notice explains what information we collect, how we use it, and your rights.
1. Information We Collect
- Funeral Home Clients — business contact details, director credentials, and case information entered through the Valedis platform.
- Decedents’ Families — names, contact information, and death-related details submitted through the family intake link, collected on behalf of the funeral home to complete the death certificate.
- Website Visitors — standard analytics data from valedis.io (IP address, browser type, pages visited).
2. How We Use Information
- Prepare and transmit death certificates to state EDRS systems on behalf of licensed funeral homes.
- Communicate with funeral home directors about case status.
- Provide automated physician certification follow-up on behalf of funeral homes.
- Respond to demo or inquiry requests from prospective clients.
- Operate, maintain, and improve the Valedis platform.
- Provide post-mortem estate administration data services (see Section 4).
3. Sharing With Third Parties
We do not sell personal information to advertisers or data brokers. We share information only as follows:
- State EDRS systems — to complete death certificate filing on behalf of funeral homes.
- Service providers — under data processing agreements requiring them to protect your information.
- Legal requirements — when required by court order, subpoena, or applicable law.
- Authorized Recipients under Data Services — see Section 4.
4. Post-Mortem Estate Administration Data Services
Section 4.1 — The Service. Valedis operates a data licensing service that makes certain public record information from filed death certificates available to professionals who assist in post-mortem estate administration (“Data Services”). Authorized Recipients include licensed estate attorneys, real estate attorneys and title companies, paralegals, financial institutions, utility service providers, insurance companies, and family members or their authorized representatives.
Section 4.2 — What Data Is Included. The Data Services include only information that constitutes a public record under applicable law once a death certificate is filed:
- Decedent full name
- Date of birth
- Date of death
- Last known residential address
- County and state of death
Section 4.3 — What Is Not Included. The Data Services do not include contact information of living family members, cause of death (except where required by an Authorized Recipient for lawful insurance or estate purposes), or any information not part of the public record.
Section 4.4 — Authorized Use Only. Every Authorized Recipient must agree by contract to use Data Services information only for legitimate estate administration purposes — not for unsolicited marketing, debt collection solicitation, or unauthorized resale.
Section 4.5 — Opt-Out. If you are a family member who submitted information through a family intake link and wish to request that a decedent’s data not be included in Data Services, contact privacy@valedis.io within thirty (30) days of the death certificate filing date.
5. Data Retention
Case records, including death certificate data, are retained for seven (7) years from the date of filing. Visitor analytics are retained for thirteen (13) months. You may request deletion of your personal contact information (separate from the death certificate record) by contacting privacy@valedis.io.
6. Security
We use encryption in transit (TLS) and at rest. Access to case data is role-based and audit-logged. In the event of a data breach affecting Florida residents, we will notify affected individuals as required by Florida Statutes §501.171 within 30 days of discovery.
We do not currently hold HIPAA Business Associate status and do not represent the platform as HIPAA compliant. We do not store protected health information (PHI) — cause of death is transmitted through certified professional channels, not stored on the Valedis platform.
7. Your Rights
Florida residents may contact us to: (a) request a summary of personal information we hold; (b) request correction of inaccurate information; (c) request deletion of contact information (subject to recordkeeping obligations); or (d) opt out of Data Services as described in Section 4.5. 8. Changes to This Notice
We will post material changes on valedis.io with a revised effective date and notify active funeral home clients by email at least thirty (30) days before changes take effect.
